Your club's rules

How far ahead people can book, the shortest and longest booking, the booking grid (for example every 30 minutes), opening hours for each day, and how close to the start a booking can still be changed.

Members' rights

Membership types with their own rules: how many days ahead, how many bookings a day, the hours they can play, and members-only times.

Playing partners

Players add the people they're playing with by email. Partners see the booking and its gate code too.

Family accounts

A parent books for their children from their own account.

Waitlist

When the time someone wants is taken, they join the waitlist and are told if it frees up.

Weekly bookings

Give a member the same court at the same time every week, each date with its own gate code and one email for the series.

Blocks and closures

Hold courts for pennant, coaching, events or repairs, once or every week. Close every court for rain in one go: clashing bookings are listed, and the players are told.

Bookings at the desk

Your team books, changes or cancels for anyone, by phone or at the desk. Players get their confirmation and gate code by email.

Bring bookings across

Future bookings from your old system come across from its export file. Every row is checked first, and each booker can get one email listing their bookings.

Calendar and reminders

Bookings go into the player's phone calendar in a tap, with reminders before the game.

No keys, padlocks or shared codes, and no waiting: each booking's code is on the gate the moment it's booked. bookahit works with a range of security systems, connected by our integrators. How gate access works

An instant code for every booking

Each booking gets its own code on your club's access controller (the box that runs your gates and lights) the moment it's booked (or paid for), with no waiting for codes to sync. It opens only that court's gate, from a set time before the booking to a set time after (10 minutes each way unless you change it).

Changes follow the booking

Move a booking and its code moves with it. Cancel it and the code stops straight away.

Open gate from the phone

During their booking, players can press Open gate on the website or in the app. When your club's location is set, the phone has to be at the club.

Phone tap

With bookahit Tap plates fitted at your gates, players hold their phone to the plate to open the gate for their booking.

Staff codes and cards

Coaches, cleaners and committee members get their own permanent codes or access cards, managed from the dashboard.

Open a gate remotely

Your team can open a gate for someone from the dashboard. Every opening is recorded with who did it.

Works if the internet drops

Your access controller holds each code and its times, so codes keep working without the internet. New codes and light changes catch up when the connection is back.

Built-in protection

Limits on how often a gate can be opened from bookahit. If openings suddenly spike, opening from bookahit pauses by itself and your admins and the bookahit team are told; codes on the keypads keep working. The bookahit team can pause it too.

Lights come on for the people who booked, and go off when they leave. How the court lights work

Lights that follow the bookings

Each court's lights come on for its bookings and go off when play ends, through your access controller.

Only when it's dark

Lights come on from a time you set, or from sunset at your club's location (worked out for every day of the year), or a set number of minutes before or after sunset.

Walkway and shared lights

Path, walkway and car park lights come on 15 minutes before a booking and stay on until 15 minutes after the last one, unless you change the times.

No switching between games

When one booking ends and another starts within 15 minutes, the lights stay on.

Your team's override

Your team can override any light from the dashboard or the app, for an event or a repair: on or off for a set time or until changed, then back to automatic. The lights page shows what's on and why.

Court hire paid as people book, straight into your club's account.

Card payments at booking

Players pay on Stripe's secure page when they book: by card, Apple Pay or Google Pay, and Afterpay, Klarna or Zip where the club switches them on. The money goes straight into your club's own Stripe account; bookahit never holds it and takes nothing from it.

Prices for members and everyone else

An hourly price for members and another for everyone else. Members can play free if your club wants that.

Refunds

Cancelled paid bookings are refunded in full, automatically.

Payment records

Every payment and refund, with the booking it was for, in the dashboard.

Everything else that happens on your courts, in the same place.

Memberships

Membership types (adult, junior, social, off-peak and so on) with their own booking rights. Members are added by hand or from a spreadsheet, each for a set period.

Club sessions

Social tennis, cardio and other sessions players sign up for, with courts held for them.

Lessons and coaches

Players pick a coach, a lesson type and a day, see when both the coach and a court are free, and book. Coaches set their own hours.

Holiday camps

Camps over several days, booked for all days or some, with places, waitlists and roll call. Medical details are kept only with consent and deleted after the camp.

Ladders

Challenge ladders: players challenge someone a few places above, book a court as usual, and record the result. A winning challenger moves up.

Competitions

Round robins and knockouts, singles or doubles. Players enter, see the draw and the table, and record scores; knockout winners move on by themselves.

Find a partner

Players looking for a game show their level and whether they want singles or doubles. Others invite them without either email address being shown.

Player ratings

Players add their World Tennis Number or UTR.

Roll call

Coaches mark who turned up to a session or lesson.

QR check-in

A poster at the club with a QR code. Players scan it to check in to their booking or session, which also counts attendance on courts without a gate.

Online lessons

Free coaching videos, credited and played in YouTube's own player.

Terms and consents

Terms of court hire that must be accepted before booking, and consents such as photos or junior play. Every answer is kept with the version it was given to.

Players hear what they need to, without your volunteers sending it.

Confirmations and reminders

Every booking is confirmed by email with its gate code, with a reminder before the game.

Club news

Announcements to everyone, to members, or to players booked on given days, by email and in bookahit. Every email has a working unsubscribe link.

Automatic emails

Messages that send themselves: a welcome after a first booking, a note to players who haven't booked for a while, and an invitation to join for regular non-members.
